Google Using Email
Mail Service (Gmail)
All students, faculty, and staff of Toyohashi University of Technology can use Gmail, provided as part of the G Suite for Education contract held by the university. This mail service closely resembles the Gmail that Google offers free of charge to individuals, and can be used easily from a web browser or from the Gmail app.
The Information and Media Center recommends using webmail when accessing it from a PC, and the Gmail app when accessing it from a smartphone. For instructions on how to use Gmail, please see the links below.
Available Email Addresses
All students, faculty, and staff can use the following two email addresses:
- surname.givenname.XX@tut.jp
- surname.givenname.XX@tut.ac.jp
(where XX is a two-letter alphabetic suffix)
Of these, the @tut.ac.jp address can only be used while you are enrolled at / employed by the university. The @tut.jp address, on the other hand, remains available after graduation or retirement. Please use them appropriately according to your purpose. You can check these addresses in the "G Suite Lifelong Email Address" field of Profile Maintenance.
In addition, the address format "accountname@edu.tut.ac.jp," which was used in the mail system prior to FY2019, is also still usable. However, except in special circumstances such as having used it before the migration, starting new use of this address is not recommended.
Beyond these three addresses, in domains that have a hosting service contract, you may also be able to use an email address under the domain of your department or laboratory (for example, taro@imc.tut.ac.jp or taro@office.tut.ac.jp). Please contact the administrator of that domain to find out whether such an address is available to you.
Mail addressed to any of the addresses described here can be sent and received via Gmail.
Technical Specifications of the Mail Service
The Gmail specifications are as follows (as of October 2019). If these limits are exceeded, Gmail may lock your mail account, making it unusable for anywhere from about one hour to one day. Please be aware of this.

Q&A
Can the two alphabetic characters assigned to my G Suite lifelong email address be changed?
No. They are assigned randomly in order to avoid duplicate names.
Can my G Suite lifelong email address be changed?
Changes are possible only for special reasons. Please carry out the administrative procedure with the Administration Bureau.
Can my G Suite password be changed?
Yes, by the following procedure:
Profile Maintenance → Other → check "G Suite Password Reset" → Save
Note, however, that the password is randomly generated; you cannot change it to an arbitrary string.
Can the maximum send/receive size per message be changed?
No. For transferring files of several megabytes or more, email is not a recommended method.
I cannot receive emails with attachments.
Due to Gmail's specifications, incoming mail may be blocked. Details are documented in the Gmail Help article. A common case is an archive that bundles a set of files including a password-protected zip file.
An unused lifelong email address belonging to someone with the same name as me shows up in searches in Classroom and similar services.
