Google Notes for updating mail system(2019)

  The Information Media Center will chenage the mail sytem from Nov 2019.  This page explains the matters related to migration.

Schedule

From 18 Nov 2019, you can use the new mail system. Please move to new mail system. The specific migration procedure will be described later. You can use mail system both new one and old one, until 4 Dec 2019. From 4 Dec 2019, you can't use ex-mail system. Please, move to new mail system until 26 Nov.

Recommended environment for browsing mail

From the second half of 2019, our email system will be transferred from the on-premises email system to the G Suite cloud email system. This has several advantages.

  1. Because of the system on the cloud, the downtime due to trouble is expected to be considerably shorter than on-premise systems.
  2. G Suite's high-performance filtering system can be used for virus mail and spam mail filtering.
  3. Searching mailboxes is very fast.

On the other hand, there are the following disadvantages.

  1. Because it is a very general mail system on the cloud, it is easy to encounter phishing damage. To solve this problem, multi-factor authentication using a staff ID card or smartphone is required.
  2. GSuite's cloud mail system is quite different from the conventional mail system. In particular, mailboxes change to the concept of labels in GSuite. Therefore, it is necessary to review how to us.

For these reasons, it is recommended that the Information Media Infrastructure Center use a web browser or a dedicated application as an environment for browsing emails.

How to migration mail system

The migration procedure differs depending on how the mail system is used. Please refer to the procedure that suits your usage.

User of web mail

This is the procedure for users who have been using the mail system from a web browser at https://mail.imc.tut.ac.jp/

In the new mail system, the URL of Web mail will be changed to  https://gmail.com

Log in to the new mail system, refer to here, and set the items that cannot be transferred.

User of mail client(IMAP)

This is a procedure for those who have been using mail systems with IMAP (a method of saving all mail on the mail server) from mail clients such as Thunderbird.

If you have previously used IMAP, register G Suite as a new account on your email client. Click here for registration procedure.→This

User of mail client(POP3)

This is procedure for those who have been using mail systemns with POP3(a method of saving all mail on the mail server) from mail clients such as Thunderbird.

If you have used POP3 before, please register G Suite as a new account in your email client. Click here for registration procedure.→This

Then move your old account email to the new account (if necessary).

Notes on migration from the old mail system

Mail Date

If you used the old mail system for Web mail or IMAP, all mail data is copied. The old mail system data is copied under the label "old". For example, if the folder name is “Important”, it will be labeled “Migration Folder / Important”.

However, mail that meets one of the following conditions cannot be transferred due to Gmail specifications.

  1. Mail with a capacity of 25MB or more (total of messages and attachments)
  2. Mail with executable file (exe, bat, etc.) attached
  3. Mail in「Bin」「Spam」

Mail forwarding

In the old mail system, the forwarding destination was set from profile maintenace, but in the new mail system, it is changed to be set in the mail system.Please setting mail forwarding destination by yourself. Please refer here for the transfer setting method.→This

If you want to change the mail forwarding settings for graduates and retirees, please contact the Information Media Infrastructure Center.

The whitelist and blacklist settings set in the spam filter of the old mail systemare not migrated. Please set again as a filter on the new mail system.
