G Suite for Education Trial Service Notice

G Suite for Education Trial Service Notice

The Information and Media Center has started a trial service of G Suite for Education for campus members as a part of the response to the recent COVID-19 pandemic.  Due to the trial nature of the service, please note that the service specifications may be changed without prior notice in the future.  The available services are as follows.

Google Drive

This is the cloud storage service for storing and shareing your information.
Do not save the files classified as the importance level 4 or 3.

The following information is planned to be classified as importance level 4.

 Information about student books and original records

 Information about the guidance record

 Medical information

The following information is planned to be classified into importance level 3.

 Information about student guidance

 Information on employment and career after graduation

 Address, date of birth, phone number

Google Drive, in principle, has the same security level as Gmail.  It means that you may basically save the information to Google Drive, which you have been sharing via e-mail.
The faculty members and researchers can share files saved on Google Drive with others outside the university.
Students and staff are not allowed to share with outside of the university, but only with the members of the university.
Retirees and alumni are not eligible for this service. Download the data you need before you retire or graduate.
The storage capacity is unlimited.

 Google Classroom

This is a service that integrates information (file) sharing, bulletin board, calendar, report or work result collection and management functions. Information sharing, previously conducted via email, can now be done in a systematic and reliable manner.

Please use it not only for remote lectures and laboratory activities, but also for sharing information between departments and committees. It can be used for private activities by students, such as independent seminars and clubs.

The usage is monitored at all times. We will consider establishing a usage policy based on the usage situation. In this case, we may ask you to stop the use of this site if it violates our policy.

The restrictions on what information can be stored on Google Drive for Google Classroom are the same as the restrictions on Google Drive described in the above.
Any university members can create a new space.

Google Meet (Hangouts Meet)

Any university member can use video conferencing.  It provides both convenience and security because it uses Google account authentication.

It is recommended to use Chrome as a browser.
A guest who is not a member of the university can access the video conference room, when its creator grants his/her access.

In order to use these services from off-campus networks (e.g., from your home), you need to register for your own one-time password application.  A one-time password application is an important application to authenticate your identity safely and reliably.  Please register your own one-time password application on the university's user authentication system as soon as possible.  It is necessary to access the university’s user authentication system from the university network, when you register for your one-time password application.  If you are unable to connect to the university network, please follow the instruction which will be provided by the university office.

With the launch of the trial service of G Suite for Education, we stop accepting new applications for the trial service of Office365 because of two reasons. The first reason is that there are already enough use cases as a trial service, and the second is that the Information and Media Center is running out of resources to deal with the recent COVID-19 pandemic. In the future, we are considering deploying Office365 as a service limited to business purposes that require higher security than the G Suite for Education. Please use the G Suite for Education for your regular research and educational purposes. Thank you for your understanding and cooperation.
